Overview
We are seeking a detail-oriented and highly organized Bookkeeper / Administrative Assistant to support both the day-to-day accounting operations of multiple client accounts and the administrative and compliance coordination needs of our team. This is a hybrid role ideal for someone who is equally
comfortable managing financial records and keeping operational workflows running smoothly. You will work closely with senior team members, follow established processes, and contribute to a fast-paced, systems-driven environment.
Key Responsibilities
Bookkeeping & Accounting
• Maintain accurate and up-to-date accounting records for multiple clients
• Process accounts payable and accounts receivable
• Prepare and reconcile bank and credit card statements
• Manage and review general ledger transactions
• Assist with payroll processing and payroll-related reconciliations
• Support the month-end close process
• Assist with preparing financial reports and basic financial statements
• Ensure bookkeeping activities follow internal processes and basic tax compliance requirements
• File and maintain financial documentation and records
• Assist with audits and tax preparation support tasks
• Support ad hoc accounting and bookkeeping tasks as needed
Administrative & Operational Support
• Coordinate, track, and update tasks across project management tools (such as ClickUp)
• Handle data entry, manage records, and prepare and send documents and agreements
• Manage tasks and deadlines independently, ensuring consistent follow-through
• Support process improvement initiatives to enhance team efficiency and productivity
Qualifications
• Associate or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
• Minimum 1–2 years of experience in a bookkeeping, accounting support, or administrative coordination role
• Proficiency with accounting software such as QuickBooks Online and/or Xero
• Comfortable using tools such as Google Workspace and Slack
• Strong organizational and time management skills with a love for checklists, folders, and structured workflows
• Ability to work independently while collaborating effectively with a remote team
• High level of discretion and confidentiality
• Strong attention to detail and problem-solving skills
• Proactive mindset with the ability to follow processes and anticipate needs
• Professional English proficiency — written and verbal (mandatory, as you will work with Canadian and U.S. teams)
Preferred Qualifications
• Familiarity with Canadian or U.S. bookkeeping and tax environments
• Experience assisting with payroll processes
• Exposure to cash flow tools such as Float
• Experience or interest in accounting process automation
• Prior startup experience is a strong advantage

Compensation
• CAD $12 per hour, with a performance and compensation review after 3 months
• Compensation is based on timesheet tracking of working hours!
