We are seeking a financially savvy, highly organised, and experienced Finance administrator to manage critical organisational functions. This role will focus on building and maintaining high‑quality administrative systems, tools, and practices. Working closely with the Chief Executive Officer, the successful candidate will initially lead key areas such as funder administration and financial control, with scope to oversee and strengthen all administrative functions as the organisation grows.

Key Responsibilities
Provide administrative support to the Chief Executive Officer and manage internal administrative requests from the team.
Establish and curate administrative strategies, systems, and standards across the organisation.
Collaborate with leaders to promote administrative standardisation, organisation, and workflow.
Oversee office management.
Develop and strictly monitor reporting plans and schedules.
Manage internal and donor reporting.
Support board administration and reporting.
Conduct governance and compliance research.
Maintain statutory records and risk reporting.
Build high‑trust relationships with key stakeholders and partners.
Compile and disseminate reports.
Create impactful slide presentations.
Customise and fact‑check standard contracts.
Continuously improve and monitor compliance with administrative standards.
Manage international payments and exchange control processes.
Support accurate and responsible financial management by establishing and overseeing financial administration systems.
Ensure a robust administrative interface between finance and other organisational domains.
Develop, maintain, and ensure consistent use of professional documentation templates aligned with the organisation’s brand.
Lead the administrative team, fostering excellence and continuous improvement.
Uphold the organisation’s culture, leadership ethos, and aspirational values.
Commit to ongoing professional growth within a rapidly scaling organisation.
Qualifications
Bachelor’s degree in business administration, finance, or related field OR equivalent experience.
Project administration certification is advantageous.
Skills & Technical Expertise
Knowledge of the NPO environment is highly advantageous.
Strong understanding of reporting methods and technologies, particularly in NPO settings.
Outstanding organisational and time‑management skills, with the ability to manage multiple priorities.
Deep insight into principles of good governance.
Strong understanding of contractual compliance standards.
Excellent administrative and systems‑development skills.
Exceptional report‑writing, layout, and communication abilities.
Meticulous attention to detail, accuracy, and aesthetics.
Excellent relationship‑building skills.
Ability to remain calm during emergencies, develop solutions, and make sound decisions under pressure.
Ability to work remotely.
Experience with tools such as Notion, Slack, Microsoft Suite, Google Suite, Toggl, etc., is an advantage.
Experience
Minimum 5 years’ experience in a mid‑senior administrative role.
Significant experience developing high‑level reports and impactful presentations.
Proven track record of establishing and improving administrative systems.
Demonstrated experience in financial or funder reporting.
Ideally, experience with financial exchange controls.
Experience in an NPO environment is advantageous.
