Role Description

We are seeking an experienced and highly organized Virtual Assistant / Client Services Coordinator to support a growing construction business that is expanding into the maintenance sector. This role is ideal for someone who thrives in a client-facing environment, enjoys managing multiple tasks, and is confident handling customer enquiries while helping drive business growth.

The successful candidate will be professional, proactive, and possess excellent communication skills with a friendly and engaging phone manner.

• Answer incoming calls and respond to customer enquiries professionally and promptly
• Manage and reconcile inboxes, ensuring all communications are actioned and organized
• Schedule appointments and coordinate calendars efficiently
• Prepare and issue invoices using Xero
• Maintain accurate client records and administrative documentation
• Follow up with prospective and existing clients
• Assist with closing sales opportunities and upselling additional services where appropriate
• Support daily administrative operations of the business
• Help streamline processes as the company expands its maintenance division
  

• Previous experience in a Virtual Assistant, Client Services, Customer Service, or Administrative role
• Experience supporting businesses within the construction, trades, maintenance, or service industries is highly preferred
• Proficiency in Xero for invoicing and basic administrative tasks
• Strong verbal and written English communication skills
• Confident and professional phone manner
• Excellent organizational and time-management abilities
• Ability to multitask and work independently in a remote environment
• Strong attention to detail and follow-through
  

• Experience with appointment setting and calendar management
• Background in sales support, client relationship management, or upselling services
• Familiarity with construction or maintenance business operations
• Experience working with Australian businesses is advantageous
