We’re looking for a tech-savvy operations VA who can own workflows, client experiences, and automation systems end-to-end. If you love problem-solving, learning new tools, leveraging AI, and delivering results without hand-holding, this role is for you.

Role Summary
This role ensures:
- Operations run smoothly and efficiently.
- Clients receive top-tier support and guidance.
- Tech systems, automations, and workflows are reliable and continually optimized.
- AI and automation are leveraged to improve productivity and client experience.
You will own processes, troubleshoot technical issues, proactively improve workflows, and identify opportunities to automate and streamline work through AI and technology while collaborating closely with the team and supporting clients.
Core Responsibilities
1. Operations Support
- Manage internal workflows, SOPs, trackers, and documentation.
- Coordinate team meetings, follow-ups, and action items.
- Maintain dashboards, forms, and operational systems.
- Support onboarding of team members and operational initiatives.
- Ensure processes are running smoothly, consistently, and efficiently.
2. Client Experience
- Lead client onboarding and ensure smooth access to tools and resources.
- Conduct pre-sales calls and support coaching sessions, webinars, and events.
- Respond to client inquiries with warmth, clarity, and professionalism.
- Monitor engagement, identify risks, and support client success initiatives.
- Manage community platforms such as Slack and Notion.
- Help create a seamless and exceptional client experience.
3. Tech, Automation & AI
GoHighLevel & Business Systems
- Build and maintain landing pages, forms, funnels, pipelines, and automations.
- Manage email and SMS campaigns.
- Troubleshoot workflows, integrations, and system issues.
Automation, AI & Process Improvement
- Build and maintain automations across GoHighLevel, Zapier, Airtable, Notion, Slack, Calendly, and related tools.
- Identify repetitive tasks and implement solutions that improve efficiency and scalability.
- Use AI tools to improve workflows, productivity, and client experience.
- Build and maintain AI-powered workflows, assistants, and internal systems.
- Research, test, and recommend new tools, automations, and AI solutions.
- Document systems, processes, and SOPs.

Requirements
Must-Have
- Experience as a Virtual Assistant, Operations Assistant, Coordinator, or similar role.
- Strong organizational and project coordination skills.
- Tech-savvy and confident learning new systems quickly.
- Experience with GoHighLevel, Zapier, Make, or similar automation platforms.
- Experience using AI tools such as ChatGPT, Claude, Gemini, Perplexity, or similar.
- Demonstrated ability to use AI to improve workflows, automate tasks, or increase productivity.
- Strong client-facing experience.
- Excellent English communication (written and verbal).
- Availability during North American business hours with overlap in Eastern Time.
- High reliability, independence, and attention to detail.
