Are you highly organized, detail-obsessed, and great at keeping projects on track? We're looking for a Virtual Assistant to join our branded merchandise team as a Project Coordinator. In this role, you'll be the engine that keeps projects running smoothly — from client onboarding all the way through order fulfillment.

What You'll Do

Client & Project Setup

• Create and maintain client profiles in Commonsku
• Set up new projects accurately and efficiently
• Organize project details, timelines, and deliverables

Presentations & Mockups

• Build client presentation decks in Commonsku
• Ensure all presentations, estimates, and sales orders are clean, accurate, and client-ready

Estimating & Order Management

• Prepare detailed estimates for client review
• Convert approved estimates into sales orders
• Verify pricing, quantities, and product specifications

Communication

• Liaise with clients and vendors via MS Outlook
• Coordinate with team members via MS Teams
• Gather pricing, timelines, and product details from vendors
• Follow up on outstanding items to keep projects moving

Organization & Coordination

• Track multiple projects simultaneously
• Maintain clear documentation and file organization
• Keep deadlines met and stakeholders updated

What You Bring

• Experience using MS Outlook for professional communication
• Strong organizational and time-management skills
• High attention to detail and accuracy
• Ability to juggle multiple tasks and deadlines
• Strong written communication skills
• Comfortable working remotely and independently

Nice to Have

• Experience with Commonsku (highly preferred)
• Background in project coordination or administrative support
• Experience creating presentation decks and product mockups
• Familiarity with the branded merchandise / promotional products industry
