POSITION DESCRIPTION:
The project Administrator plays a critical role in supporting large-scale solar and energy storage projects by providing high-level project coordination, documentation governance, finance tracking support, and cross-functional operational alignment. This role serves as a strategic execution partner to Project Managers and Engineering leadership, ensuring project controls, documentation workflows, and compliance processes are executed accurately, efficiently, and in alignment with company objectives.
This position requires strong organizational judgment, proactive problem-solving, and the ability to independently manage multiple concurrent priorities across complex construction and engineering projects. The ideal candidate brings 2-3 years of relevant professional experience, demonstrates strong business acumen, and thrives in fast-paced, deadline-driven environments. Travel to project sites is not required.
This role is remote but the candidate must reside in either CA, NY, or NJ to be considered
Responsibilities
- Lead coordination and execution of administrative and operational workflows across multiple complex projects, exercising independent judgment to prioritize activities, resolve conflicts, and ensure alignment with project objectives
- Act as a central operational liaison across Project Management, Engineering, Procurement, Business Development, subcontractors, and external stakeholders; facilitate decision-making and alignment on key execution milestones and deliverables
- Administer subcontractor procurement and contract processes, including bid coordination, RFI management, subcontract documentation, and internal approvals; interpret requirements and recommend actions to ensure compliance and efficiency
- Analyze and manage project financial documentation, including subcontractor pay applications, supplier invoices, and billing records; identify discrepancies, evaluate impacts, and recommend corrective actions to ensure financial integrity and audit readiness
- Oversee project documentation governance and control frameworks, ensuring accuracy, completeness, and compliance with contractual, regulatory, and company standards; make determinations regarding document validity and escalation needs
- Maintain and optimize project management systems (e.g., Procore), ensuring data integrity, reporting accuracy, and real-time visibility; drive adoption of best practices and process improvements
- Monitor project schedules, material deliveries, and milestone execution, proactively identifying risks, assessing impact, and developing solution-oriented recommendations for leadership review
- Evaluate subcontractor prequalification and onboarding documentation, ensuring adherence to internal policies and project requirements; exercise judgment in identifying risks or gaps requiring escalation
- Develop and manage safety, quality, and close-out documentation packages, ensuring alignment with regulatory requirements and contractual obligations
- Identify and implement process improvements to enhance operational efficiency, strengthen internal controls, and improve reporting accuracy across project portfolios
- Serve as a subject matter resource for project coordination processes, documentation standards, and system utilization
- Perform other duties as assigned
Required Qualifications
- Bachelor’s degree in a related field with 3 years of professional experience in project coordination, construction administration, engineering support, operations, or related business functions
- Proficiency in MS Office Suite, including Word, Excel, Publisher, and PowerPoint.
- Self-motivated, independent professional with excellent communication skills, strong technical aptitude, and the ability to thrive under pressure.
- Strong problem-solving skills with the ability to work independently and push tasks to completion.
- Proven ability to work in a team-oriented environment, providing support to team members, and establishing and maintaining effective work relationships with coworkers across functional areas.
- Experience working with project management software platforms
Preferred Qualifications
- Experience working within Procore
- Experience, interest in, and general knowledge of the energy industry, especially the solar and energy storage sectors.
- Demonstrated ability to manage multiple parallel projects and prioritize competing demands.

The salary range is required by the California Pay Transparency Act and may differ depending on the location of those candidates hired nationwide. Actual compensation is influenced by a wide array of factors including but not limited to, skill set, education, licenses and certifications, essential job duties and requirements, and the necessary experience relative to the job’s minimum qualifications.
