Position Overview
We are seeking a detail-oriented and highly organized Payroll & Accounting Specialist to support our Accounting and Growth Manager. This role is responsible for coordinating weekly payroll submissions, managing accounting communications, assisting with invoicing, and ensuring timely payment processing for our workforce. The ideal candidate is proactive, responsive, and comfortable working in a fast-paced environment where accuracy and timeliness are critical.
Key Responsibilities
Payroll Administration
Organize and prepare weekly payroll information for submission to our payroll partner.
Ensure all payroll data is accurate, complete, and submitted by Monday at 3:00 PM (Central Time) each week.
Verify hours, rates, and payment details before submission.
Maintain payroll records and supporting documentation.
Creating documents and ensuring timely paperwork of all staff
Onboarding staff to our payroll provider
Payment Tracking & Support
Monitor and track payments made outside of our primary payroll platform.
Ensure alternative payments are processed accurately and on time.
Maintain payment logs and reconciliation records.
Serve as a point of contact for staff inquiries regarding payroll and payments.
Investigate and assist in resolving payment-related issues.
Accounting Inbox Management
Manage the accounting inbox and respond to inquiries in a timely and professional manner.
Prioritize and escalate issues as needed.
Track open items and ensure follow-up until resolution.
Maintain organized records of communications and actions taken.
Invoicing Support
Assist with final invoice preparation and distribution to clients.
Review invoices for accuracy before sending.
Process minor invoice revisions and adjustments as directed by the Accounting and Growth Manager.
Track invoice status and help ensure timely delivery and payment collection.
Administrative & Financial Support
Support the Accounting and Growth Manager with day-to-day accounting and operational tasks.
Maintain accurate financial records and documentation.
Assist with special projects and process improvements as assigned.
Qualifications
Previous experience in payroll, bookkeeping, accounting support, or a related administrative role.
Strong attention to detail and accuracy.
Excellent organizational and time management skills.
Ability to manage multiple deadlines and priorities.
Strong written and verbal English communication skills.
Proficiency with Google Workspace
Experience with payroll systems, invoicing platforms, or accounting software is preferred.
Ability to work independently while collaborating effectively with a remote team.
Preferred Skills
Experience supporting U.S.-based companies.
Familiarity with contractor and employee payment processes.
Basic understanding of accounting principles and accounts receivable.
Experience with payroll reconciliation and invoice management.
