Job Description This is a remote position. About the Role We are looking for a highly organized and experienced Property Manager Assistant / Administrative Assistant to support our clients based in Australia. This role combines property management support with general administrative and executive assistant tasks, so we need someone who is adaptable, proactive, and comfortable handling a wide range of responsibilities. Candidates must have solid experience in property management—ideally supporting large portfolios (500+ properties)—and be familiar with using modern admin and productivity tools, including Property Tree, ASANA, Zoho CRM, Zoho Desk, other Zoho tools, and Dial pad. Requirements Key Responsibilities Property Management Support Assist with lease administration, renewals, rent reviews, and issuing notices Monitor and manage rental arrears Support VCAT applications and documentation (when required) Coordinate lease transfers, vacate notices, and entry/exit reports Help manage maintenance requests and liaise with tenants, owners, and contractors Oversee routine inspections, safety checks, and maintenance follow-ups Administrative & Executive Assistant Tasks Provide general admin support to the team and management Manage emails, calendars, schedules, and follow-ups Organize files, documents, and reports across Dropbox, Zoho tools, ASANA, and other platforms Assist in preparing presentations, summaries, and reports Coordinate meetings, reminders, and internal updates Track action items and ensure tasks are completed on time Communication & Coordination Respond to tenant, owner, and internal team inquiries via email, phone, or chat Use Dial pad to handle inbound/outbound calls Maintain professional communication and provide timely updates Collaborate with property managers, contractors, and stakeholders Systems & Tools Management Utilize Property Tree for property management tasks Use ASANA for task management and workflow tracking Work with Zoho CRM, Zoho Desk, and other Zoho tools for documentation, client queries, and admin workflows Manage files using Dropbox, and similar platforms Qualifications & Experience 2+ years of experience in property management or property administration Experience supporting large portfolios (300–500+ properties) preferred Hands-on experience with Property Tree and Property Me Experience with ASANA, Zoho CRM, Zoho Desk, other Zoho tools, and Dial pad Nice to have: Experience handling VIC or NSW properties Strong experience in general admin or EA support roles Excellent communication, multitasking, and organizational skills Strong attention to detail and ability to work independently Personal Attributes Proactive and takes initiative Highly organized with strong time management Strong problem-solving abilities Excellent customer service and interpersonal skills Able to work independently and handle minimal supervision
