Specialist, Office Services Location: Seoul, South Korea Department: Office Services Reporting To: Office Services Manager Position Summary The Specialist, Office Services is responsible for supporting the day-to-day operations of a dynamic corporate office environment. This role oversees key administrative and operational functions, including travel coordination, office facilities management, purchasing, vendor relations, budget monitoring, and workplace support. The successful candidate will play a critical role in ensuring smooth office operations, maintaining high workplace standards, and delivering exceptional internal service to employees across the organization. Key Responsibilities Travel Coordination Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visa support. Provide guidance to employees regarding travel policies and procedures. Maintain accurate travel profiles and passport information in collaboration with designated travel partners. Prepare monthly travel reports and support invoice verification and payment processes related to travel expenses. Office Operations & Facilities Management Manage office asset inventories, ensuring accurate tracking, maintenance, and periodic audits. Coordinate office maintenance activities, repairs, and facility-related services through external vendors. Support the management of office cleaning services, including scheduling and vendor coordination. Monitor workplace conditions to ensure a safe, efficient, and professional office environment. Procurement & Vendor Management Oversee purchasing activities for office supplies, pantry items, and other operational requirements. Build and maintain strong relationships with external vendors and service providers. Review invoices, monitor service quality, and support contract and pricing negotiations. Identify opportunities to improve operational efficiency and optimize costs. Budget Administration Assist with annual budget planning and forecasting for office operations. Track monthly expenditures and provide regular budget updates to management. Monitor spending trends and proactively recommend cost-saving initiatives. Security & Compliance Support office security procedures and workplace safety initiatives. Communicate office policies, emergency procedures, and operational guidelines to employees. Ensure compliance with building regulations and internal workplace standards. Employee Experience & Events Assist in the planning and execution of internal events, meetings, and employee engagement activities. Coordinate logistics, vendor support, and administrative arrangements for office events. Contribute to creating a positive and welcoming workplace experience for employees and visitors. Reception Support Provide reception coverage when required to ensure uninterrupted front-desk operations and visitor support. Qualifications Required Bachelor's degree or equivalent combination of education and professional experience. Minimum 5 years of experience in office administration, office services, facilities management, workplace operations, or a related field. Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Fluent English communication skills, both written and verbal. Strong organizational skills with exceptional attention to detail. Ability to manage multiple priorities and deadlines in a fast-paced corporate environment. Excellent interpersonal and stakeholder management skills. Preferred Experience coordinating domestic and international business travel. Background in vendor management and procurement activities. Experience managing operational budgets and expense tracking. Exposure to multinational or professional services environments.
