Key responsibilities include identifying community recreation needs and interests, developing and delivering recreation opportunities which meet these needs and interests, maintaining and operating recreational and cultural facilities to provide a setting for these activities, and managing the provision of space to external community providers and groups. Under the general guidance and direction of the Supervisor of Cultural Venues, the Venue Bookings Coordinator is responsible for administering and coordinating theatre venue booking requests, including event bookings and rental bookings. Specifically, this position is responsible for acting as the first point of contact for and liaison with clients for theatre venue booking requests; drafting initial quotes; finalizing and coordinating theatre venue event and rental contracts; and coordinating subsequent requests from clients to make amendments to approved event or rental contracts. Furthermore, this position collaborates with Section coworkers and clients to coordinate event requirements, including ticketing needs, staffing resources, third party services, and technical requests; and attends theatre venue events as required. Lastly, this position monitors and tracks budgets for all venue events; prepares monthly financial payment and reconciliation reports for venue events and rentals; and networks and liaises with venue stakeholders and users of the venues to pursue rental opportunities. Overall, this position plays an integral role in administering and coordinating theatre venue booking requests to ensure the City's theatre venues operate efficiently and are well utilized and showcased in innovative and engaging ways in order to maintain the City's reputation as a creative City with a vibrant cultural sector.
