Our client is seeking a Service Coordinator to act as the operational hub of its service department. This role combines dispatching, ServiceTitan administration, estimating support, vendor coordination, and customer communication.
The ideal candidate thrives in fast-paced service environments and understands how operational efficiency directly impacts technician productivity and customer satisfaction.
Role Overview
The Service Coordinator will oversee the complete lifecycle of service requests, from intake through job completion, utilizing ServiceTitan as the primary operating platform.
This role requires strong operational decision-making, dispatching expertise, customer service skills, and meticulous attention to detail.
Key Responsibilities
ServiceTitan Dispatching & Capacity Management
- Monitor the ServiceTitan Dispatch Board
- Track technician statuses and scheduling
- Assign technicians based on skills and geography
- Optimize schedules and reduce downtime
- Maximize technician utilization
Lead Management & Booking
- Convert service requests into scheduled jobs
- Ensure booking accuracy within ServiceTitan
- Track unbooked leads and abandoned calls
- Maximize booking opportunities
Estimating & Vendor Coordination
- Obtain vendor pricing and lead times
- Support estimate preparation
- Verify equipment and material costs
- Ensure margins and markups are properly applied
Operational Data Management
- Audit technician activity and time tracking
- Review completed job documentation
- Ensure ServiceTitan records remain accurate
Revenue Support
- Manage estimate follow-up pipelines
- Track approvals and pending opportunities
- Verify business units, job types, and financial coding
Customer Experience
- Provide proactive customer communication
- Manage schedule changes and service delays
- Resolve conflicts professionally
Required Hard Skills
- ServiceTitan experience strongly preferred
- Commercial HVAC or mechanical industry experience
- Dispatching or service coordination experience
- Estimating and vendor coordination exposure
- Strong communication skills
