About the role This role is for a senior Executive Assistant supporting the founder directly, with additional coordination support for the firm's leadership team. Fully remote, on U.S. Central Time business hours. The role exists to keep the day-to-day running smoothly: owning the calendar and inbox, managing vendors and meetings end to end, and handling routine correspondence and logistics. The role involves daily access to confidential firm information under the firm's security protocols, so discretion is essential. What you'll own Calendar and scheduling. Full ownership of the founder's calendar — booking, protecting, and sequencing meetings, resolving conflicts, and coordinating across the international time zones our clients and team occupy, with prep and travel buffers built in. Inbox and communications. Triage the founder's inbox and other messaging platforms: surface what needs him, route client and vendor threads to the right owner, draft routine replies for approval, and flag time-sensitive items early. This is the core of the role. Meeting support. Agendas, pre-reads, materials, notes, and action-item tracking and follow-through. Vendor and external coordination. Point of contact for the firm's recurring vendors and contractors — marketing, software, evaluators, service providers — chasing deliverables, scheduling calls, and preparing the founder for decisions that need him. Travel and logistics. Booking, itineraries, and the practical details of business travel and events. Document and file management. Organizing working files, light document preparation and formatting, e-signature routing, and keeping shared drives orderly. Leadership coordination support. Scheduling and coordination support for the firm's leadership team. Founder administrative support. Business and professional administrative items that currently land on the founder directly — memberships, registrations, recurring obligations — kept moving without his attention. Light project coordination. Reminders, status follow-up across owners, and small research and procurement tasks. What we're looking for Several years as an Executive Assistant supporting a founder, partner, or senior executive, ideally in a fast-moving or scaling environment. Strong written communication and the judgment to draft on someone else's behalf and represent them well. Organization and ownership: you anticipate needs and follow through without prompting. Sound judgment and discretion with confidential and sensitive information. Fluency with Google Workspace and comfort with calendar, project management, and CRM tools (for example, Monday.com and GoHighLevel). Self-direction in a fully remote role, with reliable availability during U.S. Central Time business hours. Bonus: prior experience in a law firm, professional services, or immigration, and familiarity with client confidentiality obligations.
