RFP Specialist Full-Time Remote / Hybrid Global Team International Exp. Preferred Reports to: Managing Director Experience Required: 3+ years in RFP / bid management, preferably within a global or multi-region environment About Transfective Transfective is one of the largest privately held language services providers in the world. We deliver translation, localisation, editing, proofreading, and multimedia language services across more than 120 languages to clients in legal, medical, financial, technical, and creative sectors worldwide. We operate across the UAE, Egypt, India, the US, Canada, and beyond — with a globally distributed team that works across time zones, cultures, and industries every single day. Our work is what makes the global marketplace more human, and we take that seriously. The Opportunity We are looking for an RFP Specialist who knows how to turn a blank tender document into a compelling, commercially sharp response — on time, every time. This role sits at the intersection of sales strategy, commercial writing, and project coordination, and it carries real commercial weight. You will be the person who takes our capabilities, our case studies, our pricing frameworks, and our track record — and translates all of it into winning proposals. You will work closely with the Sales, Production, and Operations teams to gather what you need and deliver responses that are accurate, persuasive, and professionally presented. If you have worked across international markets, navigated multi-language or multi-region tender requirements, and know how to tailor a pitch without losing the core message — this role was written for you. What You Will Do Your work will span the full RFP lifecycle — from the moment a new tender lands to the moment the submission goes out the door: Manage the end-to-end RFP, RFI, and tender response process — tracking deadlines, coordinating inputs, and owning the final submission Analyse tender documents to identify requirements, evaluation criteria, red flags, and strategic angles before a word is written Write, edit, and structure proposal content that is clear, persuasive, commercially sound, and tailored to the client and sector Coordinate with Sales, Production, QA, Finance, and Operations to gather accurate technical and commercial information for each submission Build and maintain a centralised bid library — standard content, case studies, capability statements, CVs, certifications, and approved pricing frameworks Develop and enforce a submission checklist and quality review process so nothing leaves without a proper check Track win/loss rates, analyse feedback from unsuccessful bids, and use those insights to sharpen future responses Stay current on industry trends, client verticals, and competitive positioning in the language services and localisation market Support the Sales team with custom pitch decks, capability presentations, and client-specific content as needed What We Are Looking For The following describes the person who succeeds in this role: 3+ years of RFP / bid / tender management experience Excellent communication skills are required Strong commercial writing skills in English — clear, structured, and persuasive Proven ability to manage multiple bids simultaneously under tight deadlines Experience working with multi-stakeholder teams to gather complex information Solid understanding of pricing, commercial terms, and contract basics High attention to detail — in language, in numbers, and in presentation Strong project management discipline — you do not miss deadlines Comfortable working across time zones with a globally distributed team Experience in language services, localisation, or a related professional services sector is a strong advantage Familiarity with CRM tools, bid management platforms, or document management systems International experience is a meaningful advantage in this role. Transfective serves clients across five continents and submits proposals to organisations with regional, multi-country, and global procurement requirements. A candidate who has navigated international tender frameworks, worked across cultural contexts, or managed bids in more than one country will have a significant head start. Who You Are Beyond the technical requirements, the person we are looking for brings a particular kind of thinking to their work: You read a 60-page tender document and find the three things that actually matter — then build the response around them. You know that a proposal is a sales document, not a compliance exercise. You write to win. You are organised under pressure. When three deadlines converge, you prioritise clearly and communicate early. You take ownership. If a submission is incomplete, it is your problem to solve — not someone else's to notice. You are a collaborative communicator. Getting what you need from busy colleagues requires tact, persistence, and clarity. You care about quality. A typo in a proposal is not just an error — it is a signal to the client about how we operate. What We Offer Joining Transfective means joining a team that operates at the intersection of language, technology, and global business. Here is what the role offers: A fully remote or hybrid working arrangement, depending on your location The opportunity to work on high-value, international proposals across diverse industries and geographies Direct exposure to the commercial and strategic side of a growing global language services company A collaborative, multicultural team environment that values initiative and clear communication Competitive compensation commensurate with experience and location A people-first culture — we invest in our people, support their growth, and take their wellbeing seriously How to Apply Send your CV and a brief cover note to [email protected] with the subject line RFP Specialist Application. In your cover note, tell us about a proposal or tender you are proud of — what the challenge was, what you did, and what the outcome was. We read every application. We are an equal opportunity employer. We hire on the basis of capability, contribution, and character — across every background, nationality, and culture.
