Summary of the Role: The Remote Recruitment Specialist is primarily responsible for outbound sourcing and headhunting passive candidates, outreaching, engaging, and qualifying them, then facilitating structured candidate assessments to deliver objective, transparent, data driven hiring outcomes.
Our operations team supports you by building and automating the administrative, assessment, and reporting processes behind the scenes, so your time stays focused on delivering candidate results.
Recruitment covers two tracks: internal hiring and Canadian candidate headhunting for our clients. You will collaborate and iterate with our Co founders and Account Manager over Slack and recorded Zoom meetings to align on strategy, build our team, and drive client hiring outcomes.
Adaptable Scope: The full role spans client hiring, candidate work, internal recruitment, sourcing, and assessments. We may consider narrower or fractional roles for strong candidates missing some pieces.

Compensation: Tell us what you want to earn and show us why. Compensation is merit based. The more you ask for, fit with the full role, output, and relevant track record we expect to see. We are open to junior, experienced, or senior recruiters, as long as compensation is proportionate to the value and results you can deliver.
Schedule & Availability: Flexible with common sense. We stay responsive to Canadian clients, candidates, and a remote internal team across time zones.
Key Responsibilities:
- Sourcing: Source and qualify passive candidates in line with screening criteria and outbound sourcing strategies, utilizing methods such as headhunting, Boolean search, and networking. Ensure Sourced Qualified Leads are captured in company systems with the core screening materials required for the role.
- Outreach & Engagement: Execute high quality, personalized outreach to passive candidates you source to build rapport, sell the opportunity, maintain momentum, and move candidates through the funnel. Manage follow ups, scheduling, and candidate communication to maximize conversion from Sourced Qualified Leads to Assessed Candidates. Adapt outreach, scheduling, and handoffs to candidate time zones.
- Candidate Assessments: Facilitate structured candidate assessments over recorded video interviews, maintaining alignment with recruitment strategies and briefs. Capture key outputs in company systems and progress qualified candidates toward hiring outcomes.
- Hiring Outcomes: Drive late stage progression from Assessed Candidates to Hired Candidates, including reference checks, ad hoc follow-up interviews, and gathering work samples as needed. Collaborate closely with stakeholders to maintain momentum, remove friction, and support closing steps through to hiring outcomes, ensuring positive stakeholder experience, strong company reputation, and lasting candidate and client success.
Expectations:
- Stakeholder-Facing Professionalism: Conduct all stakeholder video meetings and candidate interviews in business-professional attire, from a Professional Workspace or Home Office.
- Transparency and Proof of Work: Provide objective, transparent and verifiable proof of work, including: recorded meetings, interviews, calls, and system updates that allow stakeholders to validate work quality.
- High Communication Standards: Deliver accurate and timely updates, prompt response times, follow-ups and ensure candidates, clients and stakeholders are informed and aligned.
- Timesheet & Invoicing: Maintain and submit an accurate timesheet on days worked that itemizes recruitment outcomes, projects, and billable hours to ensure transparency and alignment with your invoicing.
- CRM Logs: Maintain accurate activity logs, notes and next steps for all leads and candidates under your ownership ensuring accurate attribution, insights and minimizing duplication of efforts with other recruitment specialists.
- Flexibility & Collaboration: As a startup in a dynamic phase, we may pivot tactics or evolve offerings. We expect flexibility, collaboration, and comfort adapting with a solutions oriented approach.
- Collaborative Optimization: Provide feedback and share insights with the Operations team to enable their creation and optimization of our recruitment systems and workflows.
Requirements:
MANDATORY:
- Outbound Headhunting: Demonstrated ability and track record sourcing and engaging passive candidates through outbound headhunting, outreach, screening, qualification, interviews, reference checks, and closing support.
- English Proficiency: CEFR C1 English or better is required across speaking, listening, reading, and writing.
- Professional Workspace or Home Office: You have or will have a dedicated, quiet, well lit, confidential workspace with reliable high speed internet, a high resolution webcam, and high fidelity audio for professional video calls. Background must be real and professional: no bedrooms, shared spaces, clutter, people, virtual backgrounds, or blur effects.
PREFERRED:
- LinkedIn Network Depth: Your network is geographically diverse and exceeds 2000 connections.
- Developed Market Recruiting: Full cycle recruiting experience in developed markets such as Canada, the US, UK, EU, or Australia.
- AI Usage: Successfully uses AI models such as ChatGPT, Gemini, etc. in recruitment or business contexts.
- Remote Startup Experience: Worked remotely in a company of fewer than 20 people.
- Contingency Recruiting: Experience working in a success fee model where compensation or firm revenue depends on making hires.
- External Client Management: Experience owning communication, expectations, updates, issue resolution, and outcomes with external clients throughout a hiring process.
- Boolean Search: Ability to build and iterate precise candidate search strings across sourcing platforms such as LinkedIn and Google.
- Talent Mapping: Ability to identify relevant titles, target companies, and adjacent talent pools, then prioritize leads for systematic outbound sourcing.
