Remote Communications Specialist — Morning Shift

About the Role
Well Adjusted Chiropractic is a fast-growing chiropractic organization with five clinic locations across Colorado and Texas. We are hiring a full-time Remote Communications Specialist to handle all inbound patient communications across our five locations during the morning shift — Monday through Friday, 6:30 AM to 3:00 PM Mountain Time.
This is not a general virtual assistant role. Your primary job is to be the first voice our patients hear. You answer calls, respond to texts, manage voicemails, and protect our in-clinic teams so they can stay focused on patient care. Everything else is secondary.
What You'll Do
Answer inbound calls across five clinic locations using a web-based phone platform (Mango Voice) before they reach in-clinic staff
Respond to patient texts, appointment reminder replies, and voicemails promptly and professionally
Schedule new patients and manage appointment changes
Complete administrative support tasks during non-call windows — patient follow-up, records requests, EHR task management
Submit a detailed end-of-day report every shift
Attend weekly team meetings via Zoom (Wednesday 12:30 PM MT and Thursday 12:15 PM MT)
Grow into expanded responsibilities including billing ledger auditing and personal injury case coordination as you demonstrate proficiency
What We're Looking For
Professional English — required. Spoken and written. Neutral or highly intelligible accent. You will be the voice of our practice to patients every day.
Spanish fluency — strong advantage. We serve Spanish-speaking patients across Colorado and Texas.
Prior experience in a remote communications, customer service, medical office, or administrative role
Strong prioritization instincts — you know a ringing phone outranks an admin task, and you act on it without being reminded
Reliable, accountable, and consistent — this role has daily reporting requirements and measurable KPIs
Comfortable working independently in a structured, systems-based environment
Coachable and improvement-oriented
Equipment Requirements — Non-Negotiable
Computer with minimum 16 GB RAM
Stable high-speed internet — minimum 25 Mbps upload/download
Quality noise-canceling headset
Dedicated private home office — shared computers and co-working spaces are not permitted
Willingness to use time-tracking software with activity monitoring from Day 1
Schedule & Compensation
Paid hourly with bi-weekly payroll.
Full-time — 40 hours per week, Monday through Friday
Shift: 6:30 AM – 3:00 PM Mountain Time (includes 30-minute unpaid lunch)
Performance review at 90 days with potential rate increase
Independent contractor position — you are responsible for your own taxes
