About the Role
LittleX brings high-energy recreational programming to daycares, childcare centres, and camps. We're looking for a Recreational Activities Coordinator to be the right hand to our LittleX Sales & Program Director. You'll report directly to the Sales & Program Director and work closely with the Operations Manager and Experience Operations Coordinator within an intimate, hardworking team where everyone's contribution is visible and valued.
This is a fast-paced, fully remote coordination role at the heart of our summer programming — you'll keep schedules running, clients happy, and our Inspirers (program staff) supported, while helping the team grow LittleX's reach. Because this role is remote, you must be self-motivated and a self-starter.
What You'll Do
Program & Client Coordination (primary focus)
- Act as the main point of contact for current clients, delivering the highest level of customer service
- Respond to client emails and calls promptly, within 1 business day
- Confirm and adjust program schedules with clients as needs change
- Build schedules for clients and Inspirer staff and attach them to rosters
- Keep rosters, our CRM (Zoho), and databases accurate and up to date
- Send clients required paperwork, including schedules, Vulnerable Sector Checks, and OnDemand Portal login passcodes
- Check in with clients for feedback and share it with Inspirers, the Programs Team, and the Sales & Program Director — always working on "Raising the Standard"
- Flag schedule conflicts early and work with clients and Inspirers to find solutions for rescheduled programs
Outreach & Growth Support
- Support the Sales & Program Director's day-to-day priorities, including reaching out to daycares, camps, community centres, and other youth organizations to introduce LittleX and book appointments
- Help with email campaigns and online promotions
- Manage the sales calendar and set up virtual calls for the Sales & Program Director
- Research prospects and opportunities to grow our database and create new program opportunities
- Respond to general inquiries about LittleX and camp programs
- Complete daily scorecards to track trends, opportunities, strengths, and areas to improve
Who You Are
- Responsible and reliable — you do what you say you'll do, and the team can count on you without reminders
- A self-starter — self-motivated and able to structure your own day, stay productive, and take initiative in a remote environment
- A juggler — able to keep track of multiple clients, schedules, rosters, and moving pieces at once without letting anything slip
- Highly organized, detail-oriented, and able to multitask and work quickly
- High energy and comfortable working with (and around) children
- Thrives in a fast-paced, close-knit team environment
- Comfortable picking up the phone and having conversations with new people — previous cold-calling or outreach experience is a bonus
- Strong written and verbal communication skills
- AI literate — able to adapt and learn to use AI tools
- Confident with Google Suite; CRM experience (especially Zoho) is a plus
- Experience in sales, customer service, or front-of-house restaurant roles is an asset

This position is funded through the Canada Summer Jobs program. To be eligible, you must:
- Be between 15 and 30 years of age (inclusive) at the start of employment
- Be a Canadian citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act
- Have a valid Social Insurance Number at the start of employment
- Be legally entitled to work in Canada in accordance with relevant provincial/territorial legislation and regulations
