Job Title: Property Management Support Specialist Employer: Outsource Ability Ltd (on behalf of our client) Employment Type: Remote Job Overview Outsource Ability Ltd is seeking a proactive and detail-oriented Property Management Support Specialist on behalf of our client. This role is responsible for providing administrative and operational support to ensure the smooth management of residential and/or commercial properties. The successful candidate will play a key role in coordinating tenant services, maintenance activities, and property-related communications while maintaining accurate records and ensuring compliance with processes. Key Responsibilities Administrative & Operational Support Provide daily support to property managers with administrative tasks Maintain and update property management systems and records Prepare and organize lease agreements, reports, and documentation Track key dates including lease expirations, renewals, and inspections Tenant Communication & Support Serve as a point of contact for tenant inquiries and service requests Respond to tenant communications in a professional and timely manner Assist with tenant onboarding and move-in/move-out processes Coordinate notices, updates, and general communications to tenants Maintenance Coordination Log, track, and follow up on maintenance requests Coordinate with contractors, vendors, and service providers Ensure timely resolution of maintenance issues Maintain records of completed work and service history Financial Tracking & Reporting Monitor rent payments and assist with rent collection processes Follow up on late payments and escalate where necessary Assist with basic financial reporting and reconciliation tasks Maintain accurate records of invoices, expenses, and payments Compliance & Documentation Ensure property records are complete and compliant with company procedures Support adherence to lease terms and property regulations Maintain confidentiality of all tenant and property information Requirements & Qualifications Proven experience in property management support, administration, or a related role Familiarity with property management systems and processes Strong organizational and time management skills Excellent written and verbal communication skills Proficiency in Microsoft Office and/or Google Workspace Ability to multitask and prioritize effectively in a remote environment High level of attention to detail and accuracy Reliable internet connection and dedicated remote workspace Preferred Skills Experience with property management software (e.g., Buildium, AppFolio, PropertyMe) Knowledge of lease agreements and property compliance standards Basic understanding of financial tracking and reporting Experience working with international clients or remote teams Key Competencies Strong problem-solving ability Professional and client-focused approach Ability to work independently and meet deadlines High level of integrity and confidentiality Adaptability and responsiveness in a fast-paced environment Working Conditions Fully remote role May require working across different time zones Occasional flexibility in hours depending on client needs This role offers an excellent opportunity to contribute to efficient property management operations while supporting a growing team through Outsource Ability Ltd.
