Patient Engagement Manager

The Patient Engagement Manager owns our patient engagement function end to end, ensuring an exceptional experience for both patients and mentors. This is a hands-on, individual-contributor role that blends day-to-day patient and mentor support, program operations, compliance, and client reporting. You'll report directly to the VP of Client Success and work closely with her to onboard new clients, manage existing ones, and contribute to company-wide initiatives, including strategic planning and brainstorming.

This is a high-ownership, do-the-work role from day one - you won't be managing a team at the start. As the function grows, you'll begin managing contractors, and over time grow into leading a full-time team of Patient Engagement Managers. We're looking for someone who wants to build the foundation now and step into people leadership as we scale.

$65,000+ (based on experience and location) + Quarterly Bonuses + Equity

Mentor Management

• Identify, recruit, onboard, and offboard mentors with a focus on retention, compliance, ongoing support, and overall mentor happiness.
• Own and build out our internal Mentor Engagement Program to improve overall retention and engagement levels across mentors on our platform,
• Own mentor communications from the company including compliance surveys and scheduled check-in sequences.
• Monitor mentor conversations and responsiveness daily, following up with unresponsive or low-rated mentors to ensure timely, high-quality patient conversations.

Patient / Mentee Support

• Welcome, onboard, and triage new patient sign-ups and incoming leads, routing them to the right client or program.
• Guide patients along their healthcare journey with empathy and clear communication, supporting scheduling, appointments, consult coordination, and next steps in treatment.
• Coordinate mentor rematching when needed, and manage post-conversation and satisfaction surveys.
• Identify, document, and report adverse events per FDA regulation, therapy protocol, and within required timelines, keeping conversations on-platform to protect patient safety and privacy.

Data & Reporting

• Track patient and mentor engagement throughout the journey, and collect, review, and report program data and patient feedback.
• Deliver bi-weekly internal reports on program health and monthly client reports with actionable insights and recommendations.
• Proactively surface trends and gaps in the patient and mentor experience, and implement solutions to address them.

Operations & Cross-Functional Work

• Maintain dashboards, workflows, and SOPs for consistent, scalable operations.
• Partner with Product and Marketing to improve dashboards, assets, and engagement campaigns.
• Support new client launches with tailored engagement plans and operational setup.
• Actively participate in company-wide brainstorming and cross-functional initiatives to drive innovation and growth.

Growth Into Leadership

• As the team grows, recruit, manage, and coach part-time contractors, and over time grow into managing and developing a full-time team of Patient Engagement Managers, upholding quality standards and effective execution across the function.

• 3+ years of experience in Customer Success, Program Management, or Patient Engagement.
• Experience working with healthcare organizations is required, ideally within medical devices, pharmaceuticals, or digital health. Direct exposure to regulated industries and patient-facing programs is strongly preferred.
• Demonstrated ability to recruit, onboard, and support mentors and patients with a focus on retention, compliance, and satisfaction.
• A proven track record of improving customer/patient satisfaction, retention, and engagement metrics.
• Excellent communication and empathy skills; able to support patients and mentors with professionalism and care.
• Highly organized, with the ability to manage multiple priorities and complex, detail-heavy workflows independently.
• Skilled in analyzing program data, generating actionable insights, and presenting findings to leadership and clients.
• Tech-savvy, with experience using AI platforms (OpenAI, Claude, Gemini), CRM systems, reporting tools, and project management platforms (e.g., ClickUp, Keap, Slack, Typeform, RingCentral).
• Interest in and aptitude for growing into team leadership; prior experience managing or coaching others is a plus, but not required at the start.
