Operations Coordinator (Full-Time) ACI Aviation Consulting · Remote · Vero Beach, FL (HQ) ACI is a specialty aviation consulting firm with a long track record of trusted, expert-led work. ACI is involved in valuations, advisory, and expert witness services for banks, lessors, OEMs, attorneys, and aircraft operators worldwide. We're privately held, fully remote, and in the middle of a deliberate investment in how the firm operates as we prepare for the next stage of growth. We're hiring an Operations Coordinator to be the operational center of the firm, the person who keeps things running smoothly day to day and helps us build the systems and processes that will support what comes next. This isn't a role at a large, layered organization. You'd work directly with the President and VP, alongside a small team of senior aviation experts, with real influence over how the firm operates. The work is varied, the team is sharp and respected in the industry, and what you build will matter. What you'd actually do The role starts with the day-to-day work of keeping a busy consulting practice running smoothly: Serve as the first point of contact for clients calling in; professional, responsive, and helpful Manage invoicing, follow up on outstanding receivables, and keep cash flow visible to leadership Coordinate schedules for inspections, client meetings, and contractor visits Manage incoming project intake and ensure nothing falls through the cracks Track renewals across memberships, subscriptions, insurance, and vendor contracts Support onboarding paperwork and HR logistics Help coordinate our annual publications, including the Airliner Price Guide Keep our document systems organized and accessible to leadership That's the foundation. The role grows from there. Over time — and quickly, if you're hungry for it — you'd take on more: Helping implement new tools and systems we're rolling out Building and maintaining process documentation Owning vendor relationships and renewal cycles end-to-end Partnering with leadership on operational improvements as we grow Becoming the person across the firm who reliably makes things happen What we're looking for The right person for this role probably looks something like this: You've spent time in a structured professional environment - operations, project coordination, executive support, office management, or something similar - and you understand the mechanics of a business. You may have stepped back from full-time work at some point and are looking for a meaningful role with reasonable hours and remote flexibility. Or you're early-to-mid career and want to grow into something bigger at a firm where you can have genuine impact. What matters more than your exact background: You're organized in a way that makes other people's lives easier You like systems but you're also good with people You can handle a busy phone, a full inbox, and shifting priorities without losing the thread You're comfortable speaking with senior professionals (attorneys, bankers, aviation executives) and you carry yourself with composure and credibility You're forward-thinking, not just executing tasks but looking for ways to improve them You're trustworthy with confidential information and meticulous about details Aviation experience is not required. We can teach you what you need to know about our industry. We're hiring for the person, not the résumé. A few things worth knowing We're a small, fully remote team. There's no office to commute to and no large company infrastructure around you. That's freeing if you like autonomy and a poor fit if you need a lot of structure imposed from above. The people who do well at ACI are self-directed. ACI is at an inflection point. We're rolling out new systems and tools, refining how we work, and investing in the operational foundation that will support our next stage of growth. The person who takes this role will help shape those changes, not just execute on someone else's plan. If you're energized by improving how things work and want real ownership over what you build, this will be a strong fit. Our team is experienced and direct. We communicate honestly, we move quickly, and we expect the same from people we work with. We're not corporate or bureaucratic, and we're not interested in becoming so. Structure and compensation This is a full-time position. Occasional weeks may run longer when time-sensitive projects require it, but those are the exception rather than the rule. Compensation is competitive for the role and your experience level. A benefits package is offered. Salary range: $53,295 - $58,740 per year, depending on experience. Fully remote, with occasional travel possible for industry conferences or team meetings, though minimal throughout the year. To apply Send a résumé and a short note telling us why this role caught your eye. Every application is reviewed personally. If you've been out of the workforce for a while and you're wondering whether to apply, please do. Some of the best people we know took a break for family, caregiving, or other reasons and came back stronger. We respond to every applicant within two weeks.
