The company acquires, refurbishes, and operates high-specification residential properties, providing premium co-living, serviced accommodation, corporate housing, and long-term rental solutions.
As we enter our next phase of growth, our focus is on expanding the portfolio, improving operational efficiency, and building systems that allow the business to scale without increasing leadership involvement in day-to-day operations.
We're looking for an operations professional who can become a key part of that growth journey.
The Role Overview
This role exists to take ownership of day-to-day operations across a growing property portfolio so that leadership can focus on acquisitions, growth, partnerships, and expansion.
You will become the operational backbone of the business, ensuring guest communications, maintenance coordination, contractor management, invoicing, scheduling, compliance, and operational systems run smoothly without constant oversight.
Success in this role is not measured by how many tasks you complete.
It is measured by how effectively you remove operational bottlenecks, create structure, solve problems proactively, and reduce leadership involvement in daily operations.
This is not a traditional Virtual Assistant role.

Responsibilities
You will be accountable for:
- Managing Airbnb and direct booking communications from enquiry through check-out
- Coordinating cleaners, maintenance contractors, suppliers, and service providers across multiple properties
- Processing supplier invoices, bill payments, and bookkeeping support through Xero
- Managing calendar scheduling, appointments, and operational follow-up where required
- Tracking furniture orders, deliveries, replacements, and supplier refunds for renovation projects
- Maintaining tenancy administration, compliance records, and operational documentation
- Creating, documenting, and improving SOPs for recurring operational processes
- Monitoring operational issues proactively and resolving them before escalation is required
- Providing weekly operational updates and visibility to leadership
- Supporting operational projects that improve efficiency, guest experience, and scalability
What Success Looks Like
You are winning in this role when:
- Leadership is no longer involved in daily operational administration within 90 days
- Guest and tenant communications are consistently handled to a premium standard
- Response times remain under 2 hours during working hours
- Maintenance issues are triaged within 24 hours
- Supplier invoices are processed within 48 hours of receipt
- No supplier payments are missed
- Calendar management runs smoothly without reminders
- Every booking follows a documented check-in and check-out process
- SOPs are established, maintained, and actively used across operations
- Problems are identified and solved before leadership becomes aware of them
Required Experience
Seniority Level: Mid-Level Operations VA
This role requires independence, ownership, strong communication skills, and operational judgment.
You Must Have:
- Minimum 2 years supporting a UK property business, serviced accommodation operator, lettings company, or property management business
- Direct experience managing Airbnb host operations and guest communications
- Experience coordinating maintenance contractors, cleaners, and suppliers
- Experience processing invoices and supporting bookkeeping functions
- Experience supporting a founder, entrepreneur, or business owner
- Strong written English suitable for communicating with corporate guests and professional tenants
- Confidence creating processes and systems from scratch
- Excellent organisational skills and attention to detail

- Prior property or serviced accommodation experience
- Exceptional attention to detail
- Ability to work independently with minimal supervision
- Excellent written and verbal English communication
- Reliable internet connection and professional home-working environment
- 9 AM to 5 PM UK time (GMT/BST), Monday to Friday.

Compensation & Benefits
- £800–£1,200 per month
