About the Role
The Onboarding Manager plays a critical leadership role in ensuring both new clients and new
team members have a seamless, high-quality onboarding experience.
This role focuses on the Short-Term Rental (STR) Property Manager segment of our business.
The Onboarding Manager is accountable for delivering clean, accurate books and a fully
configured software environment to our production teams, while also developing onboarding
staff to be confident, capable, and production-ready.
You will lead the onboarding function end-to-end—owning people, process, quality, and
outcomes.
Key Responsibilities
Onboarding Team Leadership & Development
Lead and manage onboarding team members, including new Keystone hires during
weeks 3–6 of employment.
Assign clients, tasks, and projects strategically to develop technical skills, confidence,
and independence.
Conduct structured training sessions, walkthroughs, and live demonstrations to guide
team members through tasks and workflows.
Provide hands-on training for systems, software, and various client types within the STR
space.
Review and approve work prior to client delivery to ensure accuracy, consistency, and
adherence to Keystone standards.
Provide ongoing coaching, feedback, and performance guidance to support growth and
readiness for production.
Partner with leadership and recruitment teams to assess new hires and recommend
readiness for transition to production.
Gather feedback from onboarding team members and continuously improve training
materials, documentation, and processes.
Client Onboarding Ownership
Lead and oversee all client onboarding activities, ensuring smooth handoffs from sales
to production.
Manage onboarding schedules, capacity planning, assignments, and timelines to meet
service-level expectations.
Ensure onboarding workflows are completed accurately and clients are fully prepared for
production support.
Oversee delivery of financial reports, owner statements, and participation in key client
onboarding meetings as needed.
Lead ad-hoc onboarding projects including cleanup work, system implementations, and
PMS conversions.
Ensure weekly and monthly tasks are completed accurately, on time, and in line with
client expectations.
Continuously evaluate onboarding processes and implement improvements to increase
efficiency, quality, and scalability.
What You Need to Succeed
Preferred: Bachelor’s degree in Accounting, Finance, or a related field.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
Proven experience with QuickBooks Online (ProAdvisor certification is a plus).
Prior experience in a bookkeeping or accounting firm, ideally in a client-facing and/or
leadership role.
Comfortable adopting new technologies and learning new software quickly.
Excellent written and verbal communication skills; confident leading Zoom or client calls.
Process-driven mindset with a love for checklists, structure, and closing the loop on
tasks.
Ability to explain complex financial concepts in clear, simple terms.
Collaborative, customer-focused, and solutions-oriented approach.
