Job Overview: The Office Manager will handle the day to day management of the Responsibility.org office, providing reliable support to ensure the office is operational, runs smoothly and the staff have adequate support to work efficiently. They will provide administrative support to the COO and senior management team and be responsible for organizational accounting, including preparing and processing invoices and accounts payable, and tracking and monitoring budget expenses. The Office Manager will work with all members of the Responsibility.org team, providing support on various projects, meetings and events (remote or in-person). The ideal candidate will be competent in prioritizing and working with little supervision and able to perform each essential duty and responsibility satisfactorily. They will possess a strong work ethic, high integrity, and a keen attention to detail. Responsibilities and Duties: This position includes all aspects of managing an office. The requirements listed below are representative of the knowledge, skills, and/or abilities required to succeed in the Office Manager-Bookkeeper position. Experience with accounts receivable, accounts payable, general ledger maintenance and bookkeeping knowledge. Meticulously keep accurate records of financial transactions and track general ledger for various departments. Inventory and place orders for office and kitchen supplies and equipment staying within budget. Handle repair and maintenance of office equipment (e.g., copiers, postage machine, kitchen appliances, etc.) Work with vendors and building manager to ensure office is maintained as needed. Provide administrative support to COO and management leadership team as needed. Answer phones, maintain office calendar, arrange catering for office/staff events and meetings; handle travel arrangements as needed. Work with Human Resources to create and manage team activities. Ability to multi-task; work in stressful situations; and meet strict deadlines. Must have excellent communication skills, both verbal and written, and possess a high level of attention to detail. Other duties and activities as assigned that contribute to the success of the organization. Qualifications: Proven experience as a bookkeeper or office manager or administrator. Excellent organizational and project management skills and demonstrated high level of attention to details. Advanced knowledge of budget management. Advanced knowledge of Office 365, to include Excel and SharePoint. Ability to manage workload and prioritize tasks in a fast, changing corporate environment with tight deadlines. Skilled at establishing and maintaining effective work relationships across several parties: internal and external customers, co-workers, and peers. Outstanding communication and interpersonal abilities, including the ability to speak clearly, professionally, and with decorum. Ability to, on occasion, work outside normal business hours to support the organization’s mission. High School diploma or GED required/Bachelor’s degree in accounting or related field is a plus. Experience: Minimum 3-5 years of experience in a busy office environment with administrative responsibilities and bookkeeping experience. Fluency in all Microsoft Office Suite applications (Outlook, Word, Excel, PowerPoint, and SharePoint). Experience with a multi-line telephone system. Experience in anticipating and ordering office and business supplies. Experience in managing service vendors. Ability to handle sensitive information with the highest level of confidentiality.
