Job Description This is a remote position. Virtual Rockstar is looking for a full-time Medical Virtual Assistant to support the lead administrative coordinator and help streamline front desk operations. This role is essential to ensuring a smooth experience for both patients and staff. You’ll assist with day-to-day administrative tasks, phone and email communication, patient scheduling, billing support, and more. You’ll also lend a hand with marketing-related projects and special assignments as needed. Responsibilities Scheduling & Coordination Manage and maintain appointment calendars Schedule and reschedule patient appointments as needed Coordinate and block therapist schedules efficiently Maintain a waitlist and ensure timely follow-ups Send appointment reminders and assist with telehealth coordination Patient Communication & Support Respond to patient inquiries via phone and email Support new patient intakes and intake form completion Follow up with patients after sessions and send treatment plans or home programs Manage referrals and coordinate with other healthcare providers Send clear, personalized communications and reminders Administrative Support Maintain accurate and up-to-date patient records in the EMR system Prepare documents and handle general email correspondence Assist with data entry and generating basic reports Support marketing and administrative projects as assigned Billing & Insurance Assistance Process and submit insurance claims Post patient payments and reconcile Electronic Remittance Advices (ERAs) Track unpaid claims and follow up with payers Review and appeal denied claims when necessary Answer patient billing questions and ensure insurance information is current Generate billing reports and maintain compliance with relevant regulations Preferred Experience (Not Required): Google Suite Practice Pro EMR Zoom Phones Requirements Previous experience in a healthcare or administrative support role preferred Strong organizational skills and keen attention to detail Clear, professional communication skills Comfortable working independently and prioritizing tasks Tech-savvy and quick to learn new systems Benefits Competitive salary commensurate with experience.
