We are a fast-growing direct-to-consumer brand serving customers globally. As we continue scaling, we are looking for an Operations Manager / Chief of Staff to work directly with the Founder and help build the operational systems, accountability, and execution engine behind the business.

The Opportunity

As the Operations Manager / Chief of Staff, you will serve as the Founder’s right hand for execution.

Your primary responsibility is to ensure projects move forward, teams remain accountable, deadlines are met, risks are identified early, and nothing falls through the cracks.

This is not an administrative assistant role.

You will help coordinate execution across product development, production, inventory, marketing, PR, ecommerce, customer service, agencies, and external partners.

Your success will be measured by how effectively you help the business operate through systems rather than founder follow-up.

Key Responsibilities

Project & Timeline Management

• Own and maintain company-wide project timelines and calendars
• Track product launches, marketing campaigns, production schedules, PR initiatives, and operational projects
• Ensure every project has a clear owner, deadline, and status
• Identify delays, risks, and bottlenecks before they impact the business
• Drive projects from planning through completion

Cross-Functional Coordination

Coordinate execution across:

• Product Development
• Production & Quality Control
• Inventory Planning
• Marketing
• PR & Influencer Programs
• Ecommerce
• Customer Service
• 3PL & Logistics Partners

Ensure all teams remain aligned and accountable to agreed timelines and deliverables.

Founder Operations Support

Act as the operational extension of the Founder.

Responsibilities include:

• Tracking founder action items
• Managing follow-up and accountability
• Organizing priorities and project workflows
• Preparing agendas and meeting summaries
• Maintaining visibility into company-wide priorities

The goal is to allow the Founder to focus on growth, product, partnerships, and brand strategy.

Weekly Business Reviews

Review and monitor:

• Revenue performance
• Product development progress
• Production timelines
• Inventory health
• Marketing initiatives
• PR pipeline
• Customer service performance

Prepare concise weekly dashboards highlighting:

🟡 At-Risk Projects

🟢 On-Track Projects

The Founder should understand company status within five minutes.

Product Launch Management

Own launch readiness tracking.

Monitor:

• Product development milestones
• Sample approvals
• Production schedules
• Inventory arrivals
• Photography and creative assets
• Product page readiness
• Email and marketing readiness
• PR seeding execution

No launch should proceed with unresolved risks.

PR & Influencer Operations

Track:

• Creator outreach
• Product shipments
• Partnership status
• Content delivery timelines
• Posting schedules
• Campaign completion

Maintain accurate reporting and escalate delays immediately.

Vendor & Logistics Management

Monitor performance across:

• Factories
• Suppliers
• Photographers
• Agencies
• Freelancers
• 3PL providers

Track deadlines, SLA compliance, inventory discrepancies, and operational issues.

Escalate risks before they impact customers or launches.

SOP & Process Improvement

Build and maintain:

• SOPs
• Work manuals
• Checklists
• Training documentation
• Operational workflows

Continuously improve systems to reduce errors and improve efficiency.

What Success Looks Like

After 90 Days

• All major projects are being tracked
• Weekly reporting cadence is established
• Launch readiness process is implemented
• Team accountability improves significantly

After 6 Months

• Founder spends 50% less time on project management and follow-up
• Risks are surfaced proactively
• Product launches consistently stay on schedule
• Teams operate with greater ownership and accountability

Long-Term Success

The Founder no longer has to ask:

• What is the status?
• Who owns this?
• When is this due?
• Why am I hearing about this now?

The Operations Manager already knows the answer and has a plan in place.

Qualifications

• 3+ years of experience in Operations, Project Management, Chief of Staff, Startup Operations, Agency Account Management, Ecommerce Operations, or similar roles
• Exceptional organizational skills
• Strong written and verbal communication
• Excellent follow-through and attention to detail
• Comfortable managing multiple priorities simultaneously
• Highly proactive and resourceful
• Strong problem-solving skills
• Experience working with remote teams
• Ecommerce, consumer products, fashion, or startup experience
• Location: Worldwide. We welcome applicants from other countries with strong English communication skills and work with US Eastern Time hours.
