THE OPPORTUNITY At Noetik, you will work alongside a highly technical interdisciplinary team working on hard and impactful problems. We are looking for folks that are excited to engage deeply and also bring an immense urgency to make an impact. In this role, you’ll work with a high-calibre team who are building systems and doing research at the forefront of AI. At Noetik, AI is at the heart of everything we do: we generate our own data purpose-built for machine learning, we build systems for serious machine learning research, we train large foundation models from scratch, and we center our drug discovery work on these models. Here, AI is not a buzzword, it’s the core of our company and the key to deciphering complex biology to make a difference for patients. The Role We’re seeking a highly organized, proactive, and resourceful Executive Assistant to support Noetik’s executive team and ensure smooth operations across the company. This person will wear multiple hats, ranging from executive and administrative support to office support, some operations coordination, key projects as needed and will play a critical role in helping team members stay connected, efficient, and effective. The ideal candidate thrives in a dynamic, fast-paced environment, is comfortable working with scientists and technologists alike. This role will be hybrid, with regular onsite work at our South San Francisco lab and flexibility for remote work when appropriate. Key Responsibilities Executive & Administrative Support Manage complex scheduling and calendar coordination for executives, including Board and Advisory Board meetings. Organize internal and external meetings, including agenda prep, logistics, and follow-ups. Assist with travel arrangements, expense reports, and document preparation for external meetings, conferences, etc. Support the Executive Team and its meeting schedule Operations Assist day-to-day operations of the South San Francisco office and lab spaces. Coordinate onsite activities and ensure a welcoming, well-functioning workspace. Support vendor relationships, procurement, and facilities coordination. Assist with onboarding logistics for new employees. Meetings & Events Participate in the planning and execution of company-wide meetings (onsite and virtual), offsites, co-working weeks, and team events—including All Hands, Holiday Party and other meetings and events, as needed. Partner with leadership and others to create engaging internal experiences that reinforce Noetik’s culture, as needed. Cross-Functional Efforts & Projects Asset tracking (from laptops to office equipment and furniture), SWAG ordering and tracking, office expansion/moving logistics, tracking personnel information (sizes, allergies, start dates) Maintain and improve internal workflows and documentation. Support and/or create administrative processes. Handle confidential information with discretion and professionalism. Qualifications Required 5-10 years of operations, administrative or executive support experience in biotech, tech, or a related field. Proven experience managing complex calendars, scheduling across time zones, and coordinating with senior leaders and external stakeholders. Strong communication, organizational, and time-management skills. High degree of professionalism and discretion when handling sensitive information. Proficiency with modern collaboration tools (Google Workspace, Slack, Zoom, Notion, etc.). Preferred Experience supporting an Executive Team, Board of Directors and/or scientific Advisory Board Prior experience in a startup, biotech, or AI company. Comfort with fast-changing priorities and a hands-on, team-oriented approach. Event planning or operations coordination experience. Comfortable navigating ambiguity and uncertainty.
