About The Role
Meta is seeking an experienced Executive Administrative Partner to support the office of the Chief AI Officer. This full-time position offers an exciting opportunity to be an integral part of a high-profile executive team within a fast-paced, innovative environment. The successful candidate will serve as a trusted partner, managing complex schedules, coordinating internal and external meetings, and handling a wide range of administrative tasks with precision and professionalism. The role requires a proactive individual who excels at multitasking, problem-solving, and building strong relationships across various departments. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to adapt quickly to changing priorities. This position can be located in New York City or remotely, with remote candidates expected to work during Eastern Standard Time hours.
Qualifications
- Minimum of 5+ years of relevant experience providing administrative support to one or more executives
- Extensive experience coordinating travel logistics for executives
- Proven calendar management and expense report experience
- Strong proficiency with Microsoft Office Suite and Google Workspace
- Excellent communication and interpersonal skills
- Demonstrated ability to prioritize multiple projects effectively
- Ability to maintain confidentiality and exercise discretion
- Experience supporting senior leadership in a fast-paced, high-volume environment
- BA/BS Degree from an accredited institution
Responsibilities
- Manage complex scheduling, including reactive and proactive calendar management for the Chief AI Officer
- Coordinate and facilitate internal and external meetings, ensuring seamless logistics and preparation
- Prepare and process expense reports and purchase requisitions accurately and timely
- Arrange domestic and international travel, including accommodations, transportation, and itineraries
- Support onsite team needs and logistics for large off-site events or meetings
- Build and maintain cross-functional relationships across departments and with external partners
- Partner closely with organizational lead administrators to ensure alignment and smooth operations
- Communicate key organizational updates and company news to relevant stakeholders
- Support special projects, initiatives, and event planning as needed
- Assist with other administrative duties to ensure the efficiency of the executive office
