Job Title: Conference Event Planner II Location: Hybrid/Onsite Preferred (Open to Remote Candidates for the Right Fit) Duration: 6-Month Contract About the Role We are seeking an experienced Conference Event Planner II to support the planning and execution of U.S.-based congresses, conferences, and related meetings. This role is ideal for a detail-oriented event professional who can independently manage planning activities for smaller congresses while providing support for larger, more complex events. The successful candidate will bring strong project management, vendor coordination, budget tracking, and stakeholder engagement experience to ensure seamless event execution. Key Responsibilities Lead and coordinate planning efforts for Tier 2/3 and regional congresses in partnership with planners, business stakeholders, and external vendors. Manage event timelines, registration processes, attendee communications, and operational logistics. Coordinate congress allocation activities with internal departments and vendors using proprietary systems. Track congress budgets, purchase orders, invoices, and event-related expenses. Maintain event assets, inventory, and supporting documentation. Develop and update planning frameworks, playbooks, roadshow materials, congress overview presentations, and best-practice documentation. Support implementation and adoption of new event technologies and AI-driven solutions. Monitor project deliverables and proactively identify and resolve operational issues. Serve as a key point of contact between planners, vendors, and cross-functional teams. Conduct post-event analysis and prepare event metrics and reporting. Support training initiatives related to event planning processes and policies. Required Qualifications Bachelor’s degree (BS/BA) or equivalent experience. Minimum 3 years of experience in event planning, congress management, conference coordination, or project management. Experience managing registration, vendor relationships, budgets, and event logistics. Strong organizational, communication, and project management skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office Suite and event management tools. Preferred Qualifications Experience within the biotechnology, pharmaceutical, healthcare, or life sciences industry. Certified Meeting Professional (CMP), Certified Tradeshow Marketer (CTSM), or equivalent certification. Experience supporting medical congresses, scientific meetings, or trade shows. Familiarity with AI tools, event technology platforms, and process improvement initiatives. Ideal Candidate Proven experience coordinating conferences, congresses, or large-scale events. Strong attention to detail with exceptional organizational skills. Ability to collaborate effectively across highly matrixed organizations. Comfortable working with ambiguity and adapting to changing priorities. Demonstrated ability to influence stakeholders and drive outcomes without direct authority. Continuous improvement mindset with a focus on operational excellence.
