Role Overview At Job Duck, we are looking for a bilingual Client Intake Coordinator to join our team and serve as the first point of contact for prospective clients. This role is essential in creating a welcoming and professional experience, ensuring that inquiries are handled with care and accuracy. You will manage communications, assess leads, and coordinate schedules to support the smooth operation of daily activities. Your contributions will directly impact client satisfaction and organizational efficiency, making you a valued member of the team. Schedule: Monday to Friday from 8:30 AM to 5:30 PM EST (USA) Your Responsibilities Will Include but Are Not Limited To: Recording events, notes, and action items in the database. Drafting and maintaining email templates for communication. Setting up calendar tasks and to-dos during meetings. Scheduling consultations and client meetings. Inputting client data into systems with precision. Filing, organizing, and recording client documents and matters. Managing and updating CRM and databases. Assessing and pre-qualifying leads for consultations. Following up with prospects and clients to ensure engagement. Handling client inquiries with empathy and accuracy. Answering emails and phone calls promptly and professionally. What We’re Looking For: At least two to three years of experience as an Intake specialist Customer service background is required Legal background is highly appreciated •Software: RocketMatter, Zoom Phone, Gmail. Customer-focused approach. Excellent written and verbal communication skills in English and Spanish. Strong planning and organizational abilities. Excellent time management. Attention to detail and accuracy. Professional phone etiquette. Empathic and sociable demeanor. Reliable and trustworthy.
