The Community Standards branch is seeking a dynamic Branch Manager's Office Clerk II to join our team. In this critical support role, you will handle diverse responsibilities that keep our leadership and technical teams running seamlessly. Reporting to the Administrative Assistant I, you will provide comprehensive clerical and administrative support to the Branch Manager’s Office. Your day-to-day work centers around three major focus areas: serving as the branch-wide Telephony Coordinator, functioning as the primary IT Asset Manager, and acting as the Long Service Administrator. You will be responsible for processing technology orders, validating employee recognition milestones, and managing vital branch tracking databases. Additionally, you will provide administrative coverage for the office, coordinate meeting materials, and manage logistics to maintain high operational standards. Because priorities within the office fluctuate, you will use your strong time management skills to adapt seamlessly to changing workloads. What will you do? Coordinate and process telephony orders across all sections of the branch, including mobile updates, SIM cards, and device refreshes Maintain and verify the Branch Manager's Office financial log and technology tracking sheets Oversee IT asset requests by determining and ordering hardware like laptops, desktops, iPads, and specialized accessories Utilize Tableau to run asset refresh reports, alerting section staff of mandatory upcoming hardware or phone updates Act as the branch primary point of contact for the Long Service Employee Recognition program, validating milestones and managing award gift distribution Provide administrative coverage for leadership calendars, prepare meeting packages, and format official correspondence Reroute POSSE workflows and clear system ticket requests to align with established operational processes Support general office needs by ordering supplies, distributing mail, and inputting data into operational logs Other duties as assigned Qualifications : Completion of the twelfth (12th) school grade including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college Minimum of two (2) year's diversified experience in general office practices and procedures including assisting in the instruction of less experienced staff Assets: Experience utilizing City of Edmonton office support systems, such as POSSE, Remedy Digital Workplace, SAP Ariba, SAP CRM or Tableau Demonstrated operational proficiency using the Google Suite platform and telephony process Skills required for success: Strong interpersonal skills paired with a polished, professional demeanor suitable for an executive support office Diplomatic communication skills, with the finesse required to handle sensitive situations or convey request denials professionally Analytical ability to independently assess equipment requests for cost, validity, and alignment with corporate budgets Proactive tracking skills to trace device locations, resolve hardware delays, or coordinate vendor repairs Strong knowledge of administrative data entry, filing system management, and digital permission controls Alignment to our Cultural Commitments and Leadership Competencies ( https://bit.ly/4brRrXm ) Embracing a culture of equity, diversity, reconciliation, and inclusion Conditions of Employment: Hire is dependent on a Criminal Records Check (CRC) that is satisfactory to the City of Edmonton, and there may be a cost associated with this requirement Applicants may be tested Work Environment: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
