Role Overview At Job Duck, we are looking for an experienced Executive Assistant to support senior leadership in a fast-paced legal environment. This role is central to ensuring smooth operations by managing complex calendars, coordinating travel logistics, and handling sensitive information with discretion. Schedule: Monday to Friday from 9:00 AM to 5:00 PM PST (USA) Your Responsibilities Will Include but Are Not Limited To: Collaborating with leadership to streamline workflows and improve efficiency Handling sensitive information with strict confidentiality and professionalism Anticipating executive needs and acting proactively to address them Drafting correspondence and preparing email responses according to parameters Supporting administrative projects as assigned by leadership Filing and organizing documents in both digital and physical formats Managing heavy email correspondence and scheduling for attorneys and executives Maintaining CRM records and ensuring accurate data logging Exercising judgment in determining matters requiring executive attention Coordinating travel arrangements and logistics with accuracy and reliability What We’re Looking For: At least two to three years of experience supporting C-suite or senior leadership Strong technical proficiency with office and scheduling software Software: Microsoft Office Suite, CRM systems, email management platforms, scheduling tools Exceptional organizational ability with attention to detail Advanced written and verbal communication skills Ability to manage complex calendars and travel logistics Proactive mindset with strong problem-solving skills Sound judgment in prioritizing executive needs Adaptability to shifting priorities and fast-paced environments Reliability and consistent follow-through Confidentiality and discretion in handling sensitive information Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload) Quiet, distraction-free remote work environment What’s In It for You?
