We are looking for a high-accountability, incredibly quick-witted Business Operations Assistant to become the administrative backbone for a fast-growing, California-based commercial door service and installation provider. We don't need someone who knows how to design a building; we need a digital native who is an absolute wizard with software tools, thinks fast on their feet, and can effortlessly orchestrate fast-moving operational schedules. What You’ll Own (The Workflow) You will bridge the gap between real-time client logistics software management and , ensuring that commercial service requests, work orders, and field communication flow flawlessly. Fast-Paced Dispatch & Scheduling: Seamlessly coordinate schedules for U.S. field technicians, map out service windows, and handle urgent inbound service requests. B2B Client Portal Management: Navigate, update, and manage corporate client work orders across high-volume ticketing platforms and enterprise procurement networks. System & CRM Integrity: Keep data flawless. You will input project scopes, field notes, and billing data across internal CRMs with absolute precision. Cross-Functional Liaison: Act as the vital communication link between California-based project managers, field teams, and corporate B2B clients. Project Closeout Support: Gather technician field reports, update job statuses to "Complete," and ensure all administrative files are perfectly package-ready for the billing team. Rapid Responsiveness: Maintain swift, sharp, and context-aware communication via email, phone, and internal messaging apps. What We’re Looking For Time Zone Stamina: Proven ability to work 8:00 AM to 5:00 PM California Time (PST) year-round without local time-drift fatigue. 1–4 Years of High-Velocity Experience: Past success in business administration, fast-paced customer support, corporate logistics, or tech-startup operations (U.S. company experience required). Flawless Business English: Exceptional verbal and written communication. You can speak with professional poise, clarity, and naturally match a modern U.S. corporate tone. Extreme Software Literacy: You don't just "use" computers; you learn new digital platforms, CRMs, and project management tools rapidly and completely on your own.
