We are looking for Virtual Professionals based in the Philippines.
This is a fully remote position for the role of Business Development & Relationship Management Virtual Assistant (Engineering and Construction Focus)

Due to the fully remote nature of this role, it is important that candidates are comfortable communicating on video calls.
ROLE SUMMARY
This is a high-ownership outbound role, not support work.
You are responsible for rebuilding and sustaining the firm’s business development motion by reactivating dormant relationships, initiating new conversations, and maintaining consistent pipeline activity across architects, developers, and design professionals.
There is no “wait for instructions” layer in this role. You are expected to drive outreach, follow-ups, and relationship re-engagement independently.
If you need scripts, daily direction, or structured step-by-step guidance to execute outreach, this role will not work for you.
You will rebuild and operate the firm’s outbound relationship engine.
This includes:
- reactivating dormant architectural and developer relationships
- initiating outbound conversations with senior industry stakeholders
- maintaining structured follow-up without reminders
- extracting real market intelligence from conversations
- building and maintaining a clean, usable outreach pipeline
Success is not measured by activity volume—it is measured by:
- reactivated relationships
- booked meetings with qualified firms
- quality of insights captured
- consistency of follow-through without oversight
This role is not for candidates who rely on scripts, templated outreach, or passive CRM maintenance.
CORE RESPONSIBILITIES
1. BUSINESS DEVELOPMENT OUTREACH & RELATIONSHIP RE-ENGAGEMENT
- Reconnect with past clients and architectural firms who previously requested proposals but did not proceed
- Reopen dormant relationships using historical proposal context (not generic outreach)
- Initiate outbound calls and email outreach without waiting for approval or scripts
- Adapt conversations in real time based on senior stakeholder responses
- Move interested contacts directly toward a meeting, call, or executive-level discussion
- Document every interaction with:
- outcome
- next step
- relationship intelligence (pricing, timing, decision drivers, competitors)

2. OUTREACH SYSTEM OWNERSHIP (BUILD + OPERATE)
- Build and maintain the outreach tracker if structure is missing or incomplete
- Maintain accurate follow-up cadence and relationship status without reminders
- Ensure pipeline data is always usable without interpretation
- Adjust priorities based on engagement signals and leadership direction
- Own follow-up execution end-to-end (nothing gets dropped or forgotten)
3. SENIOR-LEVEL CONVERSATION & INSIGHT EXTRACTION
- Communicate directly with architects, developers, and consultants
- Speak confidently without relying on scripts or rigid messaging
- Ask direct commercial questions:
- why proposals were not awarded
- budget constraints
- decision timing
- competitor selection rationale

- Extract actionable intelligence, not surface-level engagement
4. RESEARCH & TARGETING (QUALITY OVER VOLUME)
- Research firms before outreach (leadership, projects, positioning, market presence)
- Identify high-value targets aligned with premium engineering work
- Prioritize strategic relationships over volume-based outreach
- Filter out low-probability or misaligned firms before outreach begins
5. EXECUTIVE SUPPORT & DEAL FLOW COORDINATION
- Draft executive-level emails in the President’s voice (clear, concise, direct)
- Coordinate meetings and ensure scheduling is completed without back-and-forth delays
- Organize inbound documents, proposals, and communication records
- Track deadlines, missing inputs, and follow-ups across active opportunities
- Prepare structured information for invoicing / QuickBooks handoff when needed
6. MARKET INTELLIGENCE & RELATIONSHIP SIGNALING
- Monitor LinkedIn and inbound messages for opportunities
- Capture partnership signals, project intent, or shifting market conditions
- Identify firms worth re-engaging or prioritizing
- Document patterns from conversations and report them to leadership
REQUIREMENTS (NON-NEGOTIABLE)
- Proven experience in outbound business development (calls + email) in AEC, engineering, construction, or closely related industries
- Ability to hold confident, structured conversations with senior professionals (architects, developers, consultants)
- Must be able to initiate outreach without scripts or heavy guidance
- Proven ability to build and maintain structured follow-up systems independently
- Strong executive-level written communication (email must sound like leadership, not support staff)
- Strong documentation discipline (conversation → insight → next step must always be captured)
- Comfortable operating in ambiguity and building structure where none exists
This role is not suitable for candidates who require daily direction or step-by-step task instructions.
