Bilingual Practice Operations & Marketing Coordinator (Bilingual Spanish/English – C2+ Level) About the Role We are seeking a highly organized, proactive, and emotionally intelligent professional to join our growing psychotherapy practice. This role is approximately 50% Administrative & Client Care and 50% Social Media, Community Outreach & Growth . You will support client scheduling, therapist coordination, accounts receivable, and daily operations while also managing social media, audience engagement, referral relationships, community outreach efforts, and marketing initiatives. Because we are a small company (14 employees) and are in an early scaling phase, it is important that you learn both the marketing and operational sides of the business. You will work closely with our primary administrator and receive training on our systems and workflows. While social media is a major part of this role, you should also be comfortable stepping in to support daily operations to help keep the practice running smoothly. About Us We are a growing psychotherapy group practice focused on providing high-quality, relational, and results-driven care. Key Responsibilities Administrative, Client Care & Operations (50%) Answer calls, texts, emails, and client inquiries Schedule and coordinate client appointments Match prospective clients with appropriate therapists Manage cancellations, reschedules, and follow-up communication Support therapists with scheduling and operational needs Process daily accounts receivable Learn insurance workflows and client financial coordination Maintain accurate records within our EHR system Assist leadership with projects and administrative tasks Some data entry Social Media, Community Outreach & Growth (50%) Manage social media accounts for the practice + 2 co-founders Create, schedule, and publish content across platforms Engage with comments, messages, and online communities Build relationships with referral sources and community partners Support outreach, marketing, and growth initiatives Track engagement and content performance Promote company products and resources Community Outreach re-target clients Find ways to move the needle Requirements C2-level English proficiency REQUIRED (spoken and written) Bilingual English and Spanish REQUIRED Strong communication and phone skills Excellent organizational and multitasking abilities High attention to detail and accountability Ability to learn insurance and operational workflows Comfortable working in a fast-paced environment Professional, reliable, and responsive Please do not apply if your English proficiency is below C2 level. Technology Requirements You must have: Computer Phone High-speed internet Your own quiet professional workspace thats your own space Headset 2-Screen set-up Experience with: Microsoft 365 AI tools (ChatGPT, Claude, etc.) CRM systems (GoHighLevel is a plus) Social media management tools Schedule Monday–Friday 9:00 AM – 6:00 PM EST Compensation $9–$13 USD per hour , based on experience. Eligible for quarterly performance bonuses after six months. Work Environment This is a fully remote position within a collaborative Work Environment – Camera-On Virtual Office : Camera must remain ON You must be available and responsive You should be comfortable working closely with a team throughout the day Hold space fully to work during work hours During scheduled work hours, team members are expected to be fully available, responsive, and focused on work responsibilities.
