This role is ideal for someone with experience in a personal injury or healthcare practice who thrives in a fast-paced environment and enjoys supporting patients through exceptional communication and administrative coordination. You will serve as a key point of contact for patients, attorneys, and referral partners while helping ensure smooth day-to-day clinic operations. Responsibilities Manage incoming patient calls with professionalism and empathy Handle patient intake, scheduling, appointment confirmations, and calendar coordination Follow up on personal injury referrals and new patient inquiries Verify insurance eligibility and assist with administrative processing Coordinate patient care and ongoing appointment follow-ups Communicate with attorneys, providers, and professional offices regarding cases Send and receive medical records, lien agreements, and related documentation Maintain accurate patient records and administrative documentation Support backend administrative workflows and general office coordination Utilize Jane EHR and other healthcare systems for patient management Manage communication through Google Voice, WhatsApp, Zoom, and Google Chat Provide bilingual Spanish-English support to patients and referral partners Fluent in Spanish and English (written and verbal) Prior experience in a personal injury or healthcare practice strongly preferred Experience with patient scheduling, referral follow-ups, and insurance verification Familiarity with Jane EHR or similar medical scheduling systems preferred Strong phone etiquette and patient communication skills Professional, compassionate, and trustworthy demeanor Highly organized with strong multitasking and time management abilities Comfortable working independently and solving problems proactively Detail-oriented, responsive, and accountable Ability to handle confidential patient information with HIPAA awareness Tech-savvy with the ability to quickly learn new systems and workflows Reliable internet connection and professional remote work environment required Basic requirements Must be proficient in speaking and writing English very clearly Must have relevant work experience Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory] Must be available for video meetings with your camera on (when needed) Technical requirements Device: Reliable laptop or desktop computer.
