About The Role
We are seeking a highly motivated and detail-oriented Administrative and Operations Associate to support the day-to-day functions and strategic growth of CCAI. This role involves managing essential administrative functions, supporting organizational infrastructure, and assisting with operational, financial, and communication activities. The successful candidate will work closely with the Executive Director and other senior staff to ensure the smooth running of the organization, supporting a diverse and global team of staff and volunteers. The position requires a proactive self-starter with excellent organizational skills, a strong ability to adapt to changing priorities, and proficiency in digital communication and collaboration tools. Qualifications
- Minimum of 2 years of relevant professional experience in administrative, operational, or organizational support roles
- Strong verbal and written communication skills in English
- Excellent organizational and time-management skills with the ability to prioritize tasks effectively
- Attention to detail and accuracy in work
- Experience designing, building, and maintaining operational tools and systems, including CRM, expense tracking, and reporting
- Proficiency with Google Drive, Google Docs, Google Sheets, and Microsoft Excel
- Familiarity with digital communication platforms such as Slack, Zoom, and similar tools
- Experience with basic financial tracking, invoice processing, and account reconciliation
- Ability to work independently, proactively, and responsibly in a remote setting
- Willingness and ability to learn new digital tools and software as needed
- Legal authorization to work in the United States without sponsorship
Preferred Skills
- Experience working with or coordinating volunteers
- Experience supporting or managing online or in-person events
- Basic website content management skills or willingness to learn
- Knowledge of workflow automation tools and processes
- Interest or background in climate change and/or machine learning topics
- Proficiency in additional languages beyond English
Responsibilities
- Design, implement, and manage the organization's CRM database, expense tracking, and reporting systems to support community-building and educational initiatives
- Assist in maintaining and updating the CCAI website, identifying areas for improvement and implementing updates
- Catalog and collect organizational metrics and statistics to inform decision-making and reporting
- Organize and maintain digital file systems and internal infrastructure to ensure efficient access and security
- Process invoices, reimbursement requests, and execute payments accurately and timely
- Reconcile monthly accounts within the local accounting system and support financial reporting
- Identify opportunities for process improvements and implement organizational efficiencies
- Set up and maintain legal, financial, and logistical infrastructure to support organizational activities
- Assist with external communications, including emails and other outreach efforts
- Support volunteer and staff hiring, onboarding, and management logistics
- Coordinate calendars, schedule meetings, and manage logistics for organizational events and activities
- Assist with travel arrangements for staff and event participants
- Support the organization of CCAI events, including online registration setup and participant coordination
- Provide general support to staff and volunteer teams as needed to ensure operational effectiveness
